Construction communication: record changes before confirming them
Illustrative workflow. The situations and messages below are fictional examples, not customer testimonials or measured results.
Capture the request accurately
Record who requested a material or dimension change and when. List what still needs checking: availability, cost, feasibility and effect on the schedule. Do not mark the change approved before that review.
Explain photos and notes
Save site photos under the correct customer and describe their location and purpose. If using an AI summary, compare measurements, material names and approval wording with the original conversation.
Acknowledge without promising
A fictional example: We received your material change request. We will check availability and the project impact before confirming scope and cost. A message or summary does not replace the actual approval process.
Track remaining work
Use callbacks for routine intake and retain the site’s established emergency contact process. Add pending decisions and replies to the schedule, then mark them complete only after they are resolved.
