Small-business customer records: from inquiry to the next order
Illustrative workflow. The situations and messages below are fictional examples, not customer testimonials or measured results.
Make the inquiry easy to find
Select the customer’s correct number and record the requested product, quantity to verify and preferred delivery date. A useful note separates what was asked from what you have confirmed.
Use simple status groups
Start with tags such as Inquiry, Needs checking and Reply sent. Verify payment and delivery in actual order records. Applying a tag does not collect payment or book a shipment.
Send a factual update
A fictional example: We are checking the available quantity of gift boxes. Please tell us your preferred arrival date so we can confirm availability. Do not describe an unconfirmed order as shipped or guaranteed.
Record the next action
Add a dated task to check stock and respond. Review consent and opt-out status separately before later promotions. This article is a workflow example, not a farm’s measured sales or repeat-purchase result.
